Many distributors and machinery makers now buy bearings directly from factories in China instead of through several layers of traders. The savings can be real. So can the problems, and most of them start before production, in the inquiry and the order.
Here are five checks that prevent the common mistakes on a first order.
1. Send the full bearing number, not just the base number
A buyer writes “6205” when the old bearing says 6205-2RS C3. The factory quotes an open bearing with Normal clearance. The goods arrive and do not suit the machine.
In our factory’s experience, buyers most often leave out the letters before and after the base number. Those letters carry the seal type, the clearance, the cage and sometimes the material. Without them, the factory cannot judge what quality level the buyer actually needs. Copy every character from the old bearing or the drawing.
2. Settle the grade with a sample when prices do not meet
Two quotes for the same bearing number can be far apart because they are for different products.
We once had a customer in Egypt who said every quotation was too high. We assumed he wanted bearing steel at a lower price and held our ground. Then we asked for a sample of what he was buying. We tested it at the factory. The rings were iron, the lowest grade on the market, with no heat treatment. We priced that grade, quoted again, and the order was placed straight away.
If a real buyer keeps saying the price is too high, send a sample. It is faster than another round of emails.
3. Agree on marking and packaging in writing
Ask how the box and the bearing will be marked. Boxes usually carry the model, the grade and the brand. The rings can be marked with a brand the buyer is authorised to use, with the factory brand, or left neutral. Put the choice on the order, with a photo of the box you expect. It is much harder to change once the goods are packed.
4. Ask what is checked before shipment
A factory should be able to say what it inspects on every batch. Typical checks are rotation smoothness, dimensions, grease fill, rust and appearance. For mounted units, add housing mounting torque, the fit between insert and housing, the height from base to bearing centre, and internal clearance. If your application has a noise or vibration limit, say so, and ask for those bearings to be tested before packing.
5. Confirm the export documents
Check which documents will travel with the goods. The usual set is a commercial invoice, a packing list and a certificate of origin. Where the destination country has a trade agreement with China, a Form COO under that agreement may lower import duty. Ask before shipping, not after the goods reach port.
A short checklist
| Before ordering | What to send or ask |
| Bearing number | Full number with prefix and suffix |
| Grade | Sample, if quotes are far apart |
| Marking | Brand, box photo, neutral or branded |
| Inspection | Batch checks, any noise limit |
| Documents | Invoice, packing list, certificate of origin |
At FULI Bearings, a bearing factory in Linqing, Shandong, these are the points we ask a new buyer to settle before production. Each one costs a few minutes at the inquiry stage. Fixing it after the container arrives costs far more.
