Within the business realm, PDFs are the universal document type for many applications, such as financial statements, professional contracts, or agreements. Nevertheless, there are times when these secured files must be changed into editable Word documents to allow for more collaboration or manipulation.

Though the steps for converting PDF to Word are relatively simple, they can also pose a security threat if done incorrectly, causing potential vulnerabilities. This post will provide essential advice on protecting your private information when converting files.

Let’s understand some security risks involved

Before we deep dive into the methodologies to secure conversion, let’s talk about some of the potential vulnerabilities you might face along the way: 

  1. Third-Party tools: We often use online convertors or free tools that might not be following robust security measures, resulting in compromising the data and exposing it to unauthorised access. 
  2. Hidden data: Complex PDF files often have hidden information embedded, such as metadata, comments, and malicious code, that might get exposed or transferred during the conversion process if not filtered properly.
  3. Password-protected PDFs: Converting PDF to Word files often requires you to remove the password, potentially exposing confidential content if not done through a secure method. 

Selecting the right conversion method

The security of your document often depends on the tool you select. Here are some tips that you should consider while exploring some options.

  1. You should always try to choose dedicated PDF editing softwares like Adobe Acrobat online services and their associated application. These tools regularly update their features, including security measures like password protection, PDF encryption, etc. Additionally, some additional features allow you to redact any sensitive information before conversion. 
  1. Secondly, you should prefer offline conversion tools over online tools, as offline tools eliminate the risk of uploading files to any third-party server. 

Some important steps to secure the conversion process

Once you have selected a secure conversion process, you can follow the steps here to minimise the risk: 

  1. You should create a backup of your original PDF file before making any changes. This will ensure a secure version of the file if the conversion process doesn’t go as expected.
  1. While removing the passwords from the PDF, choose a secure PDF editing software. It is not recommended to use any third-party password crackers as they could inject some virus or malware into your file.
  1. You should additionally check if your document has some hidden information like metadata, comments or attachments. A lot of tools provide you the option to scan all this information. 
  1. If your PDF file contains confidential information like phone numbers or email IDs, you can use the PDF’s redaction feature to permanently black out any such text or image for conversion. 
  1. Also, you should choose the .docx file format over .doc as the .docx format is much more secure than the older versions of the Word document format. 
  1. After the file is converted to a Word document, thoroughly check the document for any missing information and inconsistency. Also, look for options to password-protect your Word document if any sensitive content exists. 

Optimising the converted Word document

While security is crucial, achieving a seamless conversion process is also essential. After the PDF has been converted, it’s critical to check that all the fonts used in the original file are also available in the new Word document. Incompatibilities may cause inconsistencies with how certain characters are displayed or handled by programs and can result in substituted fonts.

Secondly, always edit your Word files carefully—ensure paragraph styles have been adapted correctly, and adjust line spacing and indentation where needed so that everything looks right on the screen or when printed out. The last thing is to use some of Microsoft Word’s built-in accessibility features to enhance readability.
